Getting started

How quickly can a system be live?

Most systems are live within 1-2 weeks of onboarding. The first week is integration and configuration; the second is testing and calibration. Some simpler automations can be live sooner.

Do I need to change my existing tools or CRM?

No. We build around your existing stack. Whether you use HubSpot, GoHighLevel, Salesforce, or a spreadsheet, we integrate with what you already have rather than requiring you to switch anything.

What do you need from me to get started?

For database reactivation, we need your old lead list exported as a CSV file. For AI agent setup, we configure the integrations ourselves — you do not need to give us access to your inbound channels. A short onboarding call is all we need to get started.

Database reactivation

How big does my database need to be?

We recommend a minimum of around 1,000 contacts for a reactivation campaign to be worthwhile. Below that, the volume of responses tends to be too low to generate meaningful return. If your list is smaller, get in touch and we can advise on the best next step.

What channels do you use to re-engage dormant leads?

SMS and WhatsApp. These consistently outperform email for reactivation — open rates are higher and responses come faster. We do not use email for DBR campaigns.

What reactivation rate should I expect?

Typically 20-30% of contacted leads will re-engage in some form. Conversion to sale depends on your sales process, offer, and lead quality — the system gets them back into conversation; your team closes them.

What happens when a lead responds?

The AI continues the conversation, qualifies their intent, and either books a call directly into your calendar or routes the lead to your team with a full conversation summary. No lead falls through without a next step.

AI agents (Speed-to-Lead, Out-of-Hours)

What channels does the out-of-hours agent cover?

Phone calls, SMS, WhatsApp messages, emails, and web form submissions — any inbound channel where prospects can reach you. When an enquiry arrives, the agent responds immediately, qualifies the prospect, and notifies your team via Slack, email, or SMS with a summary.

Can the agent book appointments?

Yes. The agent can qualify a prospect and book directly into your calendar, eliminating back-and-forth. It integrates with most calendar and booking tools.

Will it sound robotic to my customers?

No. We configure tone, language, and brand voice during onboarding. Most customers cannot tell they are interacting with an AI unless they ask directly. We do not recommend deceiving customers — the agent is designed to be helpful and transparent.

Practicalities

How do I know it's working?

We provide regular reports covering the key metrics for your system — messages sent, responses received, leads reactivated, bookings made, and so on. You get clear visibility on performance without needing to dig into any tools yourself.

What ongoing support is included?

We monitor performance and optimise messaging and logic over time. If something is underperforming, we identify why and adjust. You are not left to manage a system you did not build.

Do you work with businesses outside the UK?

Yes. We work with clients globally. Channel availability (e.g. WhatsApp Business, certain phone integrations) may vary by region, but the core systems work internationally.

How much does it cost?

Pricing depends on the systems involved and the scope of integration. We do not publish fixed packages because each build is different. Get in touch and we will give you a clear number based on your specific situation — no vague estimates.
